So you don’t really want to go to the prom this year, but you want to support the BCE? Check out these totally awesome volunteer opportunities. It will take all of you radical people to make this a most excellent night. So thank you for volunteering.
The dinner dance will be the evening of Saturday April 16th. Please check out descriptions of the volunteer spots below, and click to sign-up for additional details on time slots and number of people needed.
The 2016 DDA committee will like totally be in touch closer to date of the event. In the meantime, if you have any questions, please don’t hesitate to reach out to Felynn Haberecht, DDA Volunteer Coordinator, at firstname.lastname@example.org.
** All volunteers are welcome to participate in the silent auction and invited to dance the night away once their shift is over.
A Mondo Thank you again,
The 2016 BCE Dinner Dance and Auction Committee
AUCTION CATALOG DELIVERY
A week prior to DDA you will be given a list of attendees in your district and a packet of auction catalogs. Crank up your favorite 80’s tunes and cruise the neighborhood delivering these booklets.
Join us the morning of the event for coffee and totally rad flower arranging. We will be working in an assembly line style to complete the centerpieces for the evening. (Dress: Comfortably)
This will be a fast paced task, prior to the start of the DDA. Help get centerpieces on the tables, decorations around the rooms, and put the final touches on making everything look totally awesome! (Dress: comfortably)
Looking for some righteous people to welcome and THANK guests as they arrive. You will be part of the team that checks everyone in, give them their paddles, direct them to auction/seating areas; or hands out pre-purchased corsages and boutonnieres. If there is a line, acknowledge bidders in line and thank them for their patience; answer any questions bidder may have or direct them to help tables. (Dress: business casual or upscale prom/cocktail)
SILENT AUCTION SET UP
(Team 1 & 2)
Another fast paced task, prior to the start of the DDA, we are looking for a group of totally radical people with a good eye for detail and setting up the silent auction displays. The first shift of people will focus on getting the room set up with table clothes, big items and overall layout. The second shift will come in and put the finishing touches on the all the items so that everyone will be able to get a good look at what they are bidding on. (Dress: comfortably)
(shift 1 & 2)
Just like Tom Cruise in Cocktail, impress the guests with your pouring skills. Whether its red, white or champagne your job is to keep it flowing. You don’t need any bar tending experience, just a friendly smile. You will work in teams of 2-3 to fill glasses and keep your bar stocked. Shift 1 will be on duty during the silent auction. Shift two will take over after the live auction, during the dancing. (Dress: upscale prom/cocktail)
WINE GAME HOSTS
You don’t need to be Bob Barker or Pat Sajak to host this game. We are looking for some engaging, outgoing people to interact with bidders and help track as they select a mystery bottle or two from our “wall of wine”. This is a great change to be in the middle of all the silent auction action. (Dress: upscale prom/cocktail)
SILENT AUCTION/MOBILE BIDDING SUPPORT
This year we are getting rid of paper for the silent auction and introducing mobile bidding. Just like when the Commodore 64 came out in 1982, some people may not understand how it works, right away. So we are looking for a couple people that are fairly tech savvy to be available in the silent auction room. They will help answer questions and ensure everyone is up and running on their mobile devices. (NOTE: This role will require a brief training on greater giving the week before the event) (Dress: Business casual or upscale prom/cocktail)
LIVE AUCTION SPOTTERS
These assertive, bodacious and enthusiastic people will assist our auctioneer by standing in certain sections of the audience, encouraging bidders to bid, helping the auctioneer “catch the bids” and determining bidder number; thank and congratulate bidders and encourage bidders in auction participation. Keep the guests’ attention. (Dress: business casual or upscale prom/cocktail)
LIVE AUCTION RUNNERS
During the live auction, this team will be focused on what needs to happen after an item has been purchased. They will deliver a most excellent bottle of wine with our congratulations and get the winners signature on the bid sheet.

(1st team & 2nd team)

PROM PHOTO COORDINATORS
After the live auction, people will line up to capture the magic of prom night. This team will work with the photographer to make sure that we are tracking the photos and taking them to the clearing room. This way everyone will have their keepsake at the end of the night. Help get people their props and pick the perfect back drop while tracking the bidding numbers. (Dress: business casual or upscale prom/cocktail)
(open 4 spaces)
This isn’t a Polaroid type of event. We are looking for people to capture the evening. Have you dabbled in amateur photography? Is it a hobby or even a career? This is a great chance to attend the DDA, mingle with everyone and show off your skills. We are looking for a couple people to take pictures during the silent auction, dinner/live auction and into the night.
We are also looking for someone that would be able to record parts of the live auction. Even if your only experience is with a VHS recorder, you are welcome to take this on!

TAKE DOWN CREW
After the band has packed it up and the last pair of dyeable heels has been carried out of the ballroom, there is still a little work to be done. This group of people, that are most likely night owls, will come in to help gather the linens, move center pieces into the clearing room and help return order to the Hyatt. They will also be able to help “clean up” any unfinished wine!
Do all the above tasks sound radical? Just want to help wherever we need some extra hands? Don’t really have any time specifications? This role is like totally for you. You will assist in miscellaneous volunteer roles that have not been filled and provide general assistance where needed. Details will be worked out prior to that evening, so that you know the timing and job you will be doing.
